The commercial workspace adviser tenant-acquisition playbook

Connect company changes to possible workspace decisions without assuming lease timing, using a sourced account card and clear stop conditions.

A company change can create a workspace question. The same change can also lead to no property decision at all. A useful tenant-acquisition workflow records the event, the possible workspace consequence and the evidence needed before an adviser treats the account as relevant.

The account card sits first because the card controls every later step.

Unknown lease timing stays unknown. Never calculate an expiry from an announcement or assume that a move means a tenant is leaving early.

Start with the company event

Useful events can include a new location, consolidation, hiring in a different region, a merger or a stated change in working model. Use the company’s own announcement where possible. Record the publication date and the exact words.

Companies House can corroborate company identity, status, registered office and filings. Its guidance says the register is not comprehensive. A registered-office change does not prove that employees moved or that workspace requirements changed.

Build a location record

List locations confirmed by current company sources. Label each location as operational, registered, proposed or unknown only where the source supports the label.

HM Land Registry’s public service can provide a free property summary for property in England or Wales, including the address, description and tenure type. The service also explains that online copies cannot be used as proof of ownership. Use the free summary only where the property question requires it. Do not buy documents for this research workflow.

Property rights, lease obligations and transaction advice require qualified professional verification. The account card records evidence and questions. The account card does not interpret legal rights.

Turn the event into a question

Map the event to one possible workspace decision:

  • Is the company adding, replacing or consolidating space?
  • Does a regional team need a permanent, flexible or project location?
  • Does the current workplace support the company’s stated operating model?
  • Who owns the property and workplace decision?

Keep the question open. The adviser’s approved service scope determines whether the situation is worth further research.

Fictional example

A fictional example uses a company announcement about hiring a regional team. The careers page supports the regional hiring fact. Companies House shows a registered office elsewhere. No source mentions a lease, workspace search or planned employee count.

The event passes the company-change gate. Lease timing is unknown and the workspace requirement is a hypothesis. The next check identifies the workplace or operations owner and tests whether a location decision exists. The account leaves the queue if the team is fully remote with no workspace requirement.

Plan the hand-off

Give the adviser the event, source trail, location record, open workspace question and disconfirming evidence. Leave room for the company to correct the record.

The first conversation should establish the requirement and buying route. Detailed property, lease, financial or legal advice follows the firm’s qualified process after the company asks for it.

Use a signal ladder

Give each account a signal state. A company announcement is observed change. A location record is corroborating evidence. A workspace requirement is a hypothesis. A confirmed project comes from an authorised conversation or primary project source.

The state stops weak evidence travelling as fact. A careers page with regional hiring can support growth in that region. The careers page cannot confirm floor area, preferred building, budget, tenure or move date.

Maintain a timing record without guessing

Set the next review from the source itself: an announced opening month, a stated hiring plan or a company update. If the source gives no date, use an internal research review date labelled as such. Keep the internal date separate from any claim about the company.

Account review:

  • [ ] The company change has a current primary source.
  • [ ] Registered and operational locations are separate.
  • [ ] Lease timing is verified, reported or unknown.
  • [ ] No expiry or property intention is inferred.
  • [ ] Free property information is used only where relevant.
  • [ ] Adviser service fit is approved.
  • [ ] Disconfirming evidence and stop conditions are visible.
  • [ ] Qualified advisers own property and lease interpretation.
